Reception table calculator

Book too many and you pay for empty tables; too few and guests wait while extra ones are set up. A few numbers give you a reasoned estimate before you confirm with the venue.

Leave blank if nobody has replied yet. These guests are counted in full.

80% is only a starting point to show the maths — adjust it to your family's and venue's experience.

Ask about your exact hall: some seat 10, others 8 or 12.

Ask the venue how unused spare tables are charged.

This is an estimate. Ask the venue for its deadline for the final table count and its policy on late changes, then set your RSVP deadline before it.

How to use

  1. Enter the total number of guests invited — count people, not invitations.

  2. If you already have RSVPs, enter how many people are confirmed. The rest is estimated with your percentage.

  3. Adjust seats per table and spare tables to match the venue, then read the number of tables to book.

Getting the number close to reality

The surest way is real answers instead of guesses: ask guests whether they're coming and how many, then follow up individually with anyone who hasn't replied before the venue's deadline.

Attendance varies from wedding to wedding — distance, weekday versus weekend, and how the invitation was delivered all change it. That's why the tool lets you set the rate instead of assuming one.

On Keemori invitations, guests RSVP on the invitation itself and you see the summary in My invitations, so the “confirmed” box can hold real numbers.

Frequently asked questions

  • Ten per table is common, but some venues seat 8 or 12 depending on the hall and table style. Ask about your hall and enter it in “Seats per table”.

  • It depends on the venue's policy. Ask whether spare tables are only charged if used and when the final count is due, then set your spare tables accordingly.

  • There's no figure that fits every wedding. Use your family's experience as a starting point, and collect RSVPs as early as you can to replace the estimate with real numbers.
